This Privacy Policy describes how Vantage Report Writer (the “App”) collects, uses, and shares information when you use our mobile application. The App is a business tool for property inspection companies and their authorized staff. It is not intended for consumer self-registration.

1. Who we are

The App is owned and operated by Vantage Inspection Technology, LLC (“Vantage,” “we,” “us”). Your inspection company (“Organization”) provisions your account and controls most of the job and client data you access in the App.

2. Information we collect

Depending on how your Organization uses Vantage, we may process:

• Account information — email address, password (stored securely by our authentication provider), display name, role, and permissions assigned by your Organization.
• Job and business data — property addresses, client and agent contact details, inspection notes, checklist answers, agreements, signatures, payments metadata, and related records entered by authorized users.
• Photos, videos, and files — inspection media, markup images, template references, and documents you capture or upload in the course of work.
• Location information — when you use location-enabled features while the App is open, we may collect approximate or precise GPS coordinates to support field workflows such as mileage, on-site status, or office map visibility configured by your Organization.
• Calendar information — only if you choose to sync inspections to your device calendar; the App may read and write calendar events labeled for Vantage inspections.
• Device and usage data — basic technical data needed to operate the App (for example app version, device type, and error logs). We do not use the App to show advertising.

3. How we use information

We use information to:

• Authenticate you and enforce role-based access within your Organization.
• Display, edit, and sync inspection jobs, reports, templates, and related workflows.
• Store and deliver photos, signatures, and documents tied to inspections.
• Support optional features your Organization enables, such as calendar export, location beacons, mileage, AI-assisted defect suggestions, and third-party integrations.
• Maintain security, troubleshoot issues, and improve reliability of the service.

4. Where data is stored

App data is primarily stored in Google Firebase (Authentication, Cloud Firestore, and Cloud Storage) in connection with your Organization’s Vantage environment. Some information is cached locally on your device to support offline or poor-network field use.

5. How we share information

We do not sell your personal information. We may share information:

• With your Organization — administrators, managers, and authorized staff who manage jobs and reports.
• With service providers — infrastructure and tooling we use to run the App, including Google Firebase / Google Cloud and Expo application services.
• With integrations you or your Organization enable — for example external report platforms (such as Spectora), accounting, CRM, or messaging tools configured in company settings.
• With AI providers when you trigger AI features — photos or text you submit to AI-assisted tools may be sent to configured third-party AI APIs to generate suggestions or narratives.
• With address and mapping services — search queries or coordinates may be sent to Google Places or other geocoding providers to resolve property addresses.
• For legal reasons — when required by law or to protect rights, safety, and security.

6. Your choices

• Account access — accounts are created by your Organization. Contact your administrator to change roles, deactivate access, or request correction of profile data.
• Location and calendar — you can deny or revoke permissions in your device settings; some features may not work without them.
• Password — use “Forgot password” on the login screen or ask your administrator for help.

7. Data retention

We retain information for as long as your Organization’s Vantage account is active and as needed to provide the service, comply with legal obligations, resolve disputes, and enforce agreements. Retention of job and client records is primarily controlled by your Organization.

8. Security

We use industry-standard measures including encrypted transport (HTTPS/TLS), authenticated access, and cloud provider security controls. No method of transmission or storage is completely secure.

9. Children

The App is a business application and is not directed to children under 13. We do not knowingly collect personal information from children.

10. International users

If you access the App from outside the United States, your information may be processed in the United States and other countries where our service providers operate.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will revise the effective date above when we do. Continued use of the App after changes means you accept the updated policy.
